This article provides instructions for clients with the integration between their EMR, Artisan, and EngagedMD.
Signing Forms
Staff and doctors can access Forms either from their Artisan Homepage or an EngagedMD email notification.
A. Artisan Homepage
1. Access the Artisan homepage.
2. Select “EngagedMD” in the left-hand navigation bar.
3. This will redirect you to EngagedMD's “My Tasks” page, where you can view Forms awaiting signature.
B. EngagedMD Email Notification
1. Open an EngagedMD “Forms to Sign” email notification in your inbox.
2. Click the link "Review and Sign".
3. You will be redirected to log in via the EngagedMD login page. If needed, password reset instructions can be found here.
4. Click "Continue" to sign the form.
Note: Forms are not accessible directly from email inboxes. Logging in is required for security purposes.
Adding a Patient
1. Navigate to the patient’s record in Artisan.
2. Click “EngagedMD” from the dropdown menu.
3. Select “Upload Patient Info to EngagedMD” to transfer the patient and partner’s demographic information from Artisan to CareXP.
Updating Patient Demographics
1. Navigate to the patient's record within Artisan.
2. Click “Update Patient Info to EngagedMD” to push the updated information from Artisan to CareXP.
Assigning Forms and Modules
1. After the patient’s CareXP account has been created, you will be redirected to the patient record.
2. Forms, Modules, and Bundles can be assigned from an Episode of Care or the patient record.
Frequently Asked Questions
1. Why do I get an error message when accessing a patient’s EngagedMD record through their Artisan chart?
This error typically occurs when there is a mismatch between the demographic information in Artisan and EngagedMD. If a patient has an EngagedMD account with one ID or email address but a different ID or email address in Artisan, an error will be triggered.
Example:
- In EngagedMD: Email: patient@email.com | ID: 123
- In Artisan: Email: patient@email.com | ID: 456
Since the same email is linked to two different IDs, an error message will appear when you try to access the record.
2. How should I proceed if I encounter a mismatch between Artisan and EngagedMD records?
If you encounter a mismatch of demographic information between Artisan and EngagedMD, please contact EngagedMD Support for assistance. Our team will help guide you through the steps to resolve the issue and ensure the correct patient record is accessible.
3. Why does a patient have multiple Episodes of Care in EngagedMD?
Multiple Episodes of Care are automatically created based on the information sent from Artisan.
Note: If there are discrepancies or overlapping details in Artisan, separate Episodes may be generated for the same patient.
4. How do I manage multiple Episodes of Care when accessing EngagedMD from Artisan?
When accessing EngagedMD from a patient’s Artisan chart, review any active Episodes to identify which one should be used. For example, if you need to assign Forms to both the patient and their partner, navigate to the Episode where both are listed.

Primary and Related Patient: Be mindful of who is listed as the primary patient and the related patient. If Patient A is the primary patient, they should be listed as the primary patient within the Episode of Care.

Assigning Forms: If you need to assign a form to both the patient and the partner, make sure you are navigating to the Episode of Care where both the patient and partner are listed.
By managing Episodes carefully, you can ensure the correct information is used and avoid errors when working in EngagedMD.
5. Can I access EngagedMD from CareXP directly?
No. Staff should always access CareXP directly from Artisan. Do not manually add patients into CareXP or edit patient demographics within EngagedMD.
6. How do I update a patient's information?
If patient demographics need to be updated, update it within Artisan and then select “Update Patient Info to EngagedMD.”
7. Can patients share an email address?
No. Patients and related patients must each have a unique email address listed in Artisan.
8. Can I test out EngagedMD as a patient?
Yes. If you would like to see firsthand what the CareXP experience is like for patients, you can make a test patient. When creating a test patient account in Artisan, make sure it’s associated with an email address that is not a clinic email address.
